3. How We Use Your Information
- To provide and maintain our e-discovery platform and services

- To send service-related communications (account updates, security alerts)
- To improve our website and platform
- To comply with legal obligations
We do not sell your personal information to third parties. We do not use your uploaded documents for any purpose other than providing the e-discovery services you requested.
4. Data Security
We take the security of your data seriously. Our platform is hosted on Amazon Web Services (AWS) in the United States with the following protections:
- Encryption at rest using AES-256
- Encryption in transit using TLS 1.2+
- Role-based access controls at the company and project level
- Automated backups with point-in-time recovery
- Soft-delete safeguards to prevent accidental data loss
5. Data Retention
We retain your account information and uploaded data for as long as your account is active or as needed to provide services. You may request deletion of your data at any time by contacting us at info@athenssearch.com. We will delete your data within 30 days of a verified request, unless retention is required by law.
6. Google API Services & Gmail Data
Athens Search offers an optional integration with Google Gmail to import emails directly into your eDiscovery workspace. This integration uses the Google Gmail API with read-only access.
What we access
- Email message content (headers, body, and attachments) — read-only
- Email labels and folder structure
- Your Gmail email address (for identification)
How we use Gmail data
- Imported emails are stored securely in your project workspace for document review
- Email data is indexed for search functionality within the Athens Search platform
- We do not use Gmail data for advertising, profiling, or any purpose unrelated to the eDiscovery services you requested
- We do not sell, share, or transfer Gmail data to third parties except as necessary to provide the service (e.g., secure cloud storage on AWS)
Data storage & security
- OAuth tokens are encrypted at rest using industry-standard encryption
- Imported email data is stored in your project workspace and subject to the same access controls as all other project documents
- You can disconnect your Gmail account at any time, which revokes our access and deletes stored OAuth tokens
- Imported emails remain in your project unless you explicitly delete them
Athens Search's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
7. Third-Party Services
We use the following third-party services to operate our platform:
- Amazon Web Services (AWS) — cloud hosting, storage, and computing
- Stripe — payment processing (we do not store your credit card information)
- Google Analytics — website traffic analysis (anonymized)
- Google Gmail API — optional email import (read-only, user-authorized)
These providers have their own privacy policies and are contractually obligated to protect your data.
